Prep Buddies

Prep centre management software for Amazon FBA prep centres and the merchants who send them inventory.

Prep Buddies is developed and operated by ECAN Enterprises, a sole proprietorship registered in Ontario, Canada (Business Identification Number 1001733988), based in London, Ontario. It was built for Prep Buddies, an FBA prep centre in London, Ontario. It gives the prep centre's staff one system for receiving, prepping, storing, and shipping merchants' inventory to Amazon fulfillment centres, and gives each merchant a portal to follow their own inventory and invoices.

Who uses it

Prep Buddies has one portal for prep centre staff and one for merchants. Every account is created by the prep centre; there is no public sign-up.

• Admin (prep centre staff): full access, including user accounts, settings, service definitions, the audit log, and Amazon data deletion requests.
• Office (prep centre staff): rate cards, charges, invoices, receiving, and preparing FBA shipment plans.
• Warehouse (prep centre staff): receiving, stock moves, and FBA packing. Warehouse users do not see prices or billing.
• Merchant owner and merchant assistant (the prep centre's customers): access to their own business only. Only a merchant owner can connect or disconnect the merchant's Amazon seller account.

Features

For prep centre staff

• Inbound receiving: record arriving shipments and quantities, and log issues.
• Inventory: stock levels by merchant and product, with stock moves and storage tracking.
• Outbound and FBA shipments: build shipments to Amazon fulfillment centres, and print FNSKU item labels and shipment box labels.
• Services and rates: the prep centre's rate card, per-unit and per-service fees, and warehouse storage fees.
• Billing: monthly invoices are drafted automatically from recorded work, and a staff member reviews, finalizes, and locks each one. Invoices are issued as PDF files.
• Issues, reports, scheduled jobs, user management, settings, and an audit log of sensitive actions.

For merchants (merchant portal)

• An overview of their account, inbound and outbound shipments, and open issues.
• Inbound and outbound shipment requests, submitted as drafts for the prep centre to review.
• Their product catalogue and inventory, with CSV import and export.
• Their invoices, storage, and account settings.
• Connecting and disconnecting their own Amazon seller account.

What it does not do

• It does not process card or online payments.
• It does not read Amazon orders, buyer names, buyer addresses, or any other information about Amazon customers.
• It does not create or change product listings, prices, or advertising on Amazon.
• Self-service merchant sign-up, Login with Amazon, API tokens, and the merchant AI assistant are switched off.
• It has no handheld scanner app.

Amazon data and access

Prep Buddies connects to a merchant's Amazon seller account through the Selling Partner API (SP-API) only when that merchant's owner authorizes it, using Amazon's own Seller Central authorization page. The merchant can disconnect at any time from the merchant portal or from Seller Central.

• Roles requested: Amazon Fulfillment and Product Listing. Neither is a restricted role, and Prep Buddies does not request any restricted role.
• What it reads and does: the marketplaces the seller participates in; catalogue details for the seller's products (such as titles, identifiers, dimensions, and weights); FBA inbound eligibility; FBA inventory levels; and creating FBA inbound shipment plans, shipments, item labels, box labels, and bills of lading for inventory the prep centre is shipping on the seller's behalf.
• What it never accesses: orders, buyer or customer personal information, financial data, messaging, or reports. Every SP-API call goes through a fixed list of allowed operations.
• Marketplaces: Amazon.ca and Amazon.com, through Amazon's North America region.
• Storage of access: the authorization token Amazon issues is encrypted (AES-256-GCM) before it is stored, and it is never sent to a web browser.
• Deletion: when a merchant disconnects or Amazon ends the authorization, the Amazon data held for that merchant is deleted within 30 days, and the deletion is recorded.
• Source tagging: product details that came from Amazon are tagged as such, so they can be found and deleted separately from details the merchant or staff entered.

Amazon access stays switched off until Amazon approves our developer registration.

Security

• Every account signs in with a password and a two-factor code (time-based one-time codes), and repeated failed sign-ins lock the account.
• Each user sees only what their role allows, and merchants see only their own business.
• Sensitive actions, such as sign-ins, Amazon connections, and data deletions, are written to an audit log.

Pricing

Prep Buddies pricing is quote-based. There is no public price list and no self-service plan. A prep centre that wants to use Prep Buddies receives a written quote from ECAN Enterprises before any work starts or any charge is made.
